Reservation and cancellation policy

The reservation policy, cancellation policy and general terms and conditions apply to the entire La Ferme de la Huppe establishment (hotel, restaurant and bar) and regardless of the booking method (direct booking by telephone, via our website with our partner RESERVIT or via any physical or digital travel agency such as Booking, Expedia, Hotels.com, etc.).

Hotel

Reservations made more than 45 days prior to arrival date

30% deposit charged

If cancelled more than 45 days prior to arrival: deposit (30%) refunded

Reservations made between 45 and 30 days of arrival date

30% deposit charged

If cancelled between 45 and 30 days from arrival date: the deposit (30%) is not refunded, but the remainder of the stay is not charged.

Reservations made between 30 and 20 days before arrival date

50% deposit charged

If cancelled between 30 and 20 days from arrival date: 50% deposit is non-refundable, but the remainder of the stay will not be charged.

Reservations made within 20 days of arrival date

100% of stay charged

If cancelled less than 20 days before arrival date : 100% of the stay is non-refundable.

Terms of payment and refund

Deposits are paid by credit card as a guarantee. In the case of multiple bookings, should a credit card not be available, the amount will be debited from a valid card linked to the same booking.

Any refunds will be made by bank transfer within 30 days of receipt, subject to admissibility.

Change of room

La Ferme de la Huppe reserves the right to allocate any room in the same category according to the needs of the hotel

Liability

La Ferme de la Huppe accepts no responsibility for the loss or theft of personal items on the premises.

Hotel privatization and groups' booking

Definition: a group is defined by a booking of 4 rooms or more, taken together in a single booking or separately in several individual bookings.

Payment terms: 30% on signature of contract, 50% 90 days before privatization date, 20% 45 days before privatization date.

Cancellation / refund:

  • More than 90 days: the deposit (30%) is not refunded, but the remainder of the stay is not charged.

  • Between 90 and 45 days: the deposit (80%) is non-refundable, but the remainder of the stay will not be charged.

  • Less than 45 days: 100% of deposit retained.

For all group bookings at the hotel (more than 4 rooms), a reservation request at the restaurant for at least one evening out of 3 evenings is required. Failing this, La Ferme de la Huppe reserves the right to cancel the hotel reservation.

Restaurant

Groups of 4 to 10 people: a credit card number is required. In the event of cancellation less than 48 hours in advance or no-show, a flat fee of €65 per person will be charged.

Groups of between 11 and 15 people: request prepayment via the Société Générale application for a minimum amount of €65 per person. In the event of cancellation less than 48 hours in advance or no-show, the prepayment is not refunded.

Groups of more than 16 people:

  • Validation of a single menu.

  • Request prepayment via Société Générale application for €65 per person. In case of cancellation less than 48 hours in advance or no-show, the prepayment is not refunded.

Bookings via Intermediaries
In the event of a reservation made with the Hotel, the Restaurant or the Bar of La Ferme de la Huppe through a travel agency, a tour operator, or any other professional in the hotel and catering sector (hereinafter referred to as the “Intermediary”), it is expressly agreed that the exclusive contracting party of La Ferme de la Huppe – SAS La Huppe by Upupa – is the Intermediary.

Consequently, the Intermediary remains solely liable and responsible to La Ferme de la Huppe for the full and complete fulfillment of the obligations arising from the reservation, as well as for all services requested during the stay by its end customers, whether initially planned or requested after the reservation, through the Intermediary or directly by the end customer.

As such, the Intermediary is jointly and severally liable, indivisibly and without limitation, with its end customers for any non-performance or poor performance of the contract, as well as for any direct or indirect damage caused to La Ferme de la Huppe. This liability covers, in particular, but is not limited to:

  • no-shows,

  • early departures,

  • no-shows at the restaurant or bar by guests staying at the accommodation,

  • damage, theft, misconduct, disturbances, unsanitary conditions, or any other event causing material or immaterial, direct or indirect damage,

  • any request for additional services not paid for directly by the end customer,

  • any breach of the legal or regulatory obligations applicable to the stay or the service booked.

The amount of damages claimed by La Ferme de la Huppe may be immediately debited from the card left as a guarantee by the Intermediary, which the latter expressly and irrevocably accepts, without the possibility of recourse or dispute.

It is further specified that the Intermediary expressly waives any right to rely on the behavior or status of its end customers in order to contest, exclude, or limit its liability towards La Ferme de la Huppe.

 

Refund Requests

All refund requests are processed within 30 days of receipt, subject to admissibility.

Failure to comply with the rules and regulations governing safety and hygiene, and any damage or negligence that may result in direct or indirect damage to the hotel's equipment or staff, will incur your liability and will be billed to you.

 

In the event of failure to comply, the customer must immediately assume civil liability. In the event of damage, the hotel reserves the right to invoice the customer for the cost of repair or replacement. The same applies to any infringement discovered after the customer's departure. Compensation will be debited from the customer's credit card. 

Version of the general terms and conditions

These general terms and conditions are valid for all reservations made after June 16, 2025, and cancel and replace all previous versions. French law is solely applicable to these terms and conditions.

 

Under penalty of inadmissibility of the claim, any dispute that may arise concerning the interpretation or execution of these terms and conditions shall be subject to a prior attempt at amicable settlement between the parties. If the dispute persists after these preliminary steps, it shall fall under the exclusive jurisdiction of the courts within the jurisdiction of the Court of Appeal of Aix-en-Provence.
